You are able to set documents or organisations to a ‘Spot buy mode’. This simple-save option is exclusively meant for saving one-time organisations/documents organisation not yet stored in the platform, and that you don't wish to track. So, organisations that are marked as Spot buy will not generate any automated document requests. The spot buy functionality makes sure that organisations and the documents belonging to that organisation can only be seen if you filter on ‘spot buy.’
When you mark an existing organisation as a spot buy, the following actions are done automatically:
- Documents about the organisation are converted to spot-buy documents. Before this is done, you will get a pop-up with an overview of all the documents that would be converted to spot buy and ask you to confirm the action.
- All requirements will be removed because you would not want spot-buy organisations to trigger automatic document requests.
- All documents that will be added in the future about the organisation will have a spot buy label.
When you review a spot buy request, you will see that the order reference that you filled in before is automatically added to the document. Since this is a spot buy document, you will notice that the ‘spot buy document’ toggle is marked by default. Also, filling in the about is not mandatory to simplify the reviewing process.
