~Paving the way towards one Agriplace network! ~
Dear users,
For the past few years we have been working very hard to build one connected Agriplace network, and today we get to release the foundation of this network plus its first feature: Public documents.
This morning we presented a webinar explaining the release this morning, if you were not able to join us, you can watch the webinar back through the following link: Webinar link
With this release, our vision for an interconnected and more sustainable supply chain through which information can flow more seamlessly is one step closer. So, without further ado, I think we should sum up what you can expect from this release!
Summary of this email
- Paving the way towards one network: strengthen your public profile to make it as easy as possible for your buyers to find you in the Agriplace network. If they link to you, your organisation's information gets synced with them automatically.
- Public documents: by making your own documents public, they are automatically shared when linked buyers have requirements for them, meaning fewer repetitive sharing actions and fewer requests for you.
- Link & sync: connect with your suppliers to receive their public documents for review and have their synced organization information.
- New ‘my tasks’ section on the dashboard where linking recommendations and public documents that need to be reviewed are suggested.
- Three places where you can review public documents from: 1. My tasks section on the dashboard: in this section, we only show you public documents for review that fall under your requirements. 2. Documents tab of the linked organisation: This section shows you all available public documents. Here we do not make a selection for you to see only public documents that fall under your requirements. 3. Requirements tab of the linked organisation or all requirements page: the task status column is from now on telling you if there is a document up for review that would fulfil that requirement.
Full release note
One Agriplace network
Some of you might have already heard us refer to ‘the network’. Today we are taking the first steps towards it.
With the network, in general, we aim to remove the duplication of sharing for everyone in the supply chain - from farmer to retail. Suppliers can upload their data (suppliers & documentation) once, and smartly re-share/bulk-share to other Agriplace users in the network.
In addition, we will move away from a structure that solely relies completely on requests (i.e. I'm missing something - the system sends a request) and allow for more proactive sharing.
Public documents
The first step in the network is public documents. By making your own documents public, they are automatically shared when linked buyers have requirements for them. This ensures a large proportion of documents can already come in automatically, without any request going out. This saves you, your suppliers and your buyers a lot of time!
To receive public documents from your suppliers, you must link and sync to their public profile. The other way around, if your buyers would want to receive your public documents, they would have to link and sync with your public profile.
Benefits for your suppliers:
- Fewer requests are being sent to them for documents (Think documents you would upload on your public website for others to freely see and download).
- Any changes they make to their organisation details will automatically be synced to companies they are linked to on the Agriplace network.
Benefits for buyers:
- You will automatically receive the public documents of your suppliers that are part of the Agriplace network for review in your account, without a request needing to be sent out to them.
- You always have the most up-to-date public organisation details about your suppliers.
(!) Important note: This feature only lets you share documents about your own organisation. You are unable to mark documents about another organisation as public.
But how does it work?
Ensure your public profile is set up
The first step is to set up your public profile. As we mentioned in our previous release, it is vital to add as much information to your public profile as possible. This helps us to match you with your buyers. You can finalize your public profile under company settings.
In this release note, we will set up an example link between a trading company (Laura’s trading) and a producing company (Helene’s farm).
Link with your suppliers
Below you can see that Helene’s farm is a supplier in Laura’s trading account. From now on you can see if Helene’s farm is in the Agriplace network, and it is therefore possible to establish a link.
A link can be established by clicking on the blue banner (as seen above on the organisation details page) or through the new ‘my tasks’ section on the dashboard. In this section you will see if there are any tasks for you to look into (suggested organisations to link that you might work with, public documents to review).
By clicking on the link recommendation, we are brought to the following page where we can link & sync Helene’s farm and Laura’s trading. On the left, you can see the organisation that already exists in Laura’s trading account, and on the right, you can see Helene’s farm as found in the Agriplace network. Something else you can see is that Helene’s farm has also added a SEDEX (ZS) code that Laura’s trading did not have in their account yet. After linking and syncing, the SEDEX code will also be added to the organisation details page of Helene’s farm in Laura’s trading account. Here the link recommendation is based on the GGN that is the same in Laura’s trading account as the GGN that Helene’s farm has added to their public profile.
After having established the link, as is shown below, the fields that have been updated through the link are now greyed out. Furthermore, the link is also indicated next to the organisation's name at the top. If you wish to break the connection, you can do so by clicking ‘unlink and stop syncing’.
Sidenote: If Helene’s farm makes any changes to their public profile, the changes will automatically be visible in Laura’s trading account as well. For example, if Helene’s farm adds a SIZA code to their public profile, it will automatically be added to Laura’s trading account as well.
Public documents
It is also now possible to add public documents to your public profile. By doing so, these documents will automatically sync with the buyer account, and therefore no request will be sent out for them.
Below you can see the public profile of Helene’s farm from their perspective. As you see, two public documents have been added to their public profile. After having established the link, these documents will now be up for review in Laura’s trading account.
There are several places where this can be found.
- My tasks section on the dashboard: in this section, we only show you public documents for review that fall under your requirements. Thus, in this case, Helene’s farm has two public documents, however, only one of the two is a document that Laura’s trading actually requires, and therefore is ready for review.
- Documents tab of the linked organisation: This section shows you all available public documents. Here we do not make a selection for you to see only public documents that fall under your requirements.
- Requirements tab of the linked organisation: as you see below Laura’s trading has an unfulfilled requirement for Helene’s farm. However, the task status column is telling us that there is a document up for review. By reviewing the public document, the requirement can be fulfilled without having to send out a document request for it. The same ‘task status’ column can also be found on the all requirements page.
We know this is a lot of new information and therefore an extensive release note. As always, if you have any questions or uncertainties, or if you just want to say hi, reach out via e-mail.
With kind regards from your customer success team,
Helena, Laura, Otilia, Sophie and Yoram
