What is a placeholder document import?
With a placeholder document import, you only import the document type and expiration date.
Thus, you do not import the actual document.
This means that this type of import can be used when there is no need to upload the real document (e.g. since you have it saved somewhere else). If this is the case you can only import the document type and expiration date so once the document is about to expire a new one can be automatically requested by the system.
!NOTICE! This means that you need to keep the documents of your suppliers you might need for audits saved somewhere else. Even when you receive a new, valid document, you should not delete the previous documents.
This import is only possible when you know the Document type and the expiration date.
How to do a placeholder import
When doing a document placeholder import you need to add these columns during the bulk organisation import:
DOCUMENT_TYPE_1
DOCUMENT_EXPIRATION_DATE_1
DOCUMENT_TAGS_1
Of course, you can also add multiple placeholder documents to one organisation. To do so just replace the 1 with the subsequent number:
DOCUMENT_TYPE_2
DOCUMENT_EXPIRATION_DATE_2
DOCUMENT_TAGS_2
...
These extra columns can be placed anywhere in the Excel spreadsheet.
If you are not sure about what the document type is called on Agriplace Supply Chain Approval you can check this article.
The expiration date needs to be in this format, date/month/year. E.g. 23/10/2023
