Public documents aim to save a lot of repetitive actions you need to make to share the necessary documents with your suppliers and buyers.
Benefits for your suppliers:
- Less requests are being sent to them for documents (documents you would upload on your public website for others to freely see and download).
- Any changes they make to their organisation details will automatically be synced to companies they are linked to on the Agriplace network.
Benefits for buyers:
- You will automatically receive the public documents of your suppliers that are part of the Agriplace network for review in your account, without a request needing to be sent out to them.
- You always have the most up-to-date public organisation details about your suppliers.
In order for the public documents to be shared, there are a few steps you need to take:
Step 1: Set up your public profile
Company settings -> Public profile -> Enter company details -> SAVE
Step 2: Link with your suppliers
Dashboard -> My tasks -> Review Link recommendations
Link recommendations will be shown if some unique identifiers match with existing accounts.
Click on "LINK & SYNC", once a connection has been made, other supplier information + public documents that you are requesting from your suppliers will be in your account.
Step 3: Upload your public documents
Company Settings -> Public profile -> Public documents -> either "UPLOAD DOCUMENT" or/and "+ADD FROM OWN DOCUMENTS".
Step 4: Review public documents
Dashboard -> My tasks -> Review public documents
Go to your suppliers' page, from organization info -> Documents -> view "PUBLIC DOCUMENTS"
What data is copied when linking and synching?
All organisation details which includes
- Company name
- Organisation type(s)
- Country
- Address
- City
- Postal code
- Phone
All unique identifiers which includes
- GGN
- PUC
- SEDEX – Company code (ZC)
- SEDEX – Site code (ZS)
- SIZA
- IFS
- BRCGS
- QS Location ID
- QSN
- RFA
- SKAL
- FLO
- BSCI
- PHC
- FSSC22000
- Planet Proof
- Other IDs
Occasionally you might see the other organisation’s email address which only shows up if it is an exact match with the email you inserted to the organisation details.
Lastly, after linking and synching you have access to the organisation’s public documents which will automatically be retrieved when you send out a request without spamming your supplier’s email.
