In this article, you can get more information about how the sub-supplier intakes works.
What is meant by supplier intake?
If you send out a manual request, you can not only ask your supplier for documents but also information about sub-suppliers. If one of your suppliers is supplied by new sub-suppliers, they can enter the information into your request, and you can then incorporate it into your account. It is also possible to transfer updates of existing sub-suppliers into your account.
How can i send out a request for a Sub-supplier intake?
Step 1: Start a new manual request
Step 2: Fill out all the information and set the Sub-supplier intake to "yes"
Now you can make your sub-supplier intake even product specific. In this case we want to ask about updates/new suppliers that only supply cherries, but you can, of course, specify on more than one product.
Step 3: Adjust the information/colummns you want your supplier to fill out
In this case we want to know the particular region where the sub-supplier is from, so we add it to the columns (some of the columns are predetermined and cannot be changed e. g. name, GGN etc.). You can add a message to specify your inquiry even more.
Step 4: fill in the rest and click "send request"
Now your Supplier gets your requests displayed in the way you previously adjusted it. The request in our example looks like this:
As you can see the supplier filled out the table with the information. To avoid errors, suppliers with a Free or Pro agriplace account can directly add suppliers from their account by clicking the "add from your account"-button. They can also choose data from a dropdown menu as shown in the picture.
Once the supplier submitted the filled out request, you can review it.
How can i add the new suppliers or ask for an update now?
Opening the request you can see all the sub-suppliers and choose which one you want to take over into your account by clicking the toggle "Create new supplier". In this case we reviewed the request and want to create the organisations. However, there is no region indicated for "Cherryworld 1" and we want to ask the supplier for an update for that. This is how it works:
Step 1: click "Mark supplier review as complete" -> "complete & process"
(Note: after this step neither you nor your supplier can edit the sub-supplier intake anymore)
Step 2: click "ask for an update" and specify what kind of information you need in the "Add message"-box and ask for the update
What does "Mark supplier review complete" do?
The sub-suppliers are created in your account and greyed out in the update request and cannot be changed by you or your supplier in the intake process.
If your supplier now updates the information and sends it back to you, you will get suggestions of the fitting organisations in your account.
The supplier reentered the information of "Cherryworld 1" and added the region. As we created "Cherryworld 1" as a supplier earlier, we see the suggestion on the right and click "Mark supplier review as complete". Now the additional information (here: the region) will be added to the already existing organisation in your account. If you do not wish so, you can delete the suggestion and set the request to done.
If the supplier also provides documents about the sub-suppliers, those documents will be tagged with the product, which in this case would be "cherries".
